QuickBooks Interfaces

ISI is committed to providing key interfaces to third party software (software created by someone other than ISI) for our family of customers. These interfaces serve as a bridge to accounting software and terminal applications for credit card processors, as well as ASCII/text files for importing into marketing software, spreadsheets, and databases.

The interfaces ISI has developed are based on specific versions of third party software packages. If you choose to update your third party software to a new version, the interfaces developed by ISI may cease to function properly. If you use third party products, it is your responsibility to know which version is supported by ISI’s interfaces. ISI will use sound business judgment as to how and when to upgrade our interfaces to work with newer software versions.

We will equip our users with the tools to create and capture the data for specific third party programs through our documentation, support, and software. This includes menu selections and/or system commands which facilitate maintenance of these files, along with the ability to copy the data onto disk, tape, or other media. ISI neither supports nor provides training for the use and maintenance of these third party programs.

We are providing you with accounting interfaces that are compatible with QuickBooks Pro® versions 2000 or greater and QuickBooks Online. This will give you the ability to import LubeSoft® A/R (Accounts Receivable) and G/L (General Ledger) information into the QuickBooks software for convenience and control of your accounting.

Before moving forward and interfacing with QuickBooks, it is important you make sure your LubeSoft® system is set up properly. Refer to Lubrication Setup articles and Inventory articles for detailed information on setting up categories, coupons and discounts, and general ledger accounts. These areas must be set up to report to valid G/L accounts before you continue with your QuickBooks interface setup.

Our interface will provide you with basic information which can be used in the QuickBooks product. In A/R, this includes basic fleet information along with the total dollar invoice charge amount. In G/L, this includes the total dollar amount for each individual account for the specified reporting period (such as Daily, Weekly, or Monthly). We have tested the interface to ensure the appropriate information will import into QuickBooks without any errors and make sure the basic functionality is usable. QuickBooks also provides many additional areas of functionality that we currently do not support with our interface.

Changing preferences and setups in the QuickBooks software, beyond those we describe, could cause you to have problems with our interface. These changes are untested by us, and are not a part of this added functionality, so we urge you to be cautious and work with QuickBook’s customer support should you have problems.

As with all accounting software, we strongly suggest that you seek professional advice from a certified accountant with questions on the how to set up your A/R and G/L accounts. The combination of LubeSoft® and QuickBooks allows you to keep track of your accounting information. ISI is committed to providing you with exceptional customer service and assistance. However, ISI can give neither advice nor assistance with accounting questions beyond those addressed in this section.
